This Privacy Notice for The Hindale Group (doing business as PPP Label Finder) (“we“, “us“, or “our“) describes how and why we might access, collect, store, use, and/or share (“process“) your personal information when you use our services (“Services“). This includes when you:

* Visit our website at http://www.ppplabelfinder.co.uk or any website of ours that links to this Privacy Notice.

* Download and use our mobile application (PPP Label Finder), or any other application of ours that links to this Privacy Notice.

* Use PPP Label Finder, your single source of plant protection product labels for UK approved pesticides, designed for agronomists and farmers to access usage rates, restrictions, and buffer zones.

* Engage with us in other related ways, including any marketing or events.

Do we process any sensitive personal information? We do not process sensitive personal information.

Do we collect any information from third parties? “We do not obtain personal data about you from unrelated third parties.”

How do we process your information? We process information to provide Services, manage subscriptions, generate AI responses, and facilitate stock takes. We also process information to generate Audit Assist reports, include business or farm details where you provide them, and process one-off Audit Assist payments and related invoicing.

In what situations and with which parties do we share personal information? We share data only with essential service providers like Supabase, OpenAI, Stripe, and RevenueCat.

What are your rights? You have rights under UK GDPR regarding access, rectification, and deletion of your data.

1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us, or when you contact us.

Account Data: Names, email addresses, and passwords.

Subscription & Payment Data: We collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and security code. All payment data is handled and stored by Stripe and RevenueCat.

Stock Take Data: We collect client names, client email addresses, and stock information entered by the stock take Owner. Where collaborative features are used, the Owner may grant access to other registered users. Collaborators may view, edit, and email the shared stock take to recipient addresses added by the Owner. The Owner determines who is granted access and controls permissions.

Usage Data: Saved labels and recently viewed labels.

AI Interaction Data: User queries and AI conversation history.

Audit Assist Data: Where you use Audit Assist, we collect the business name, farm name, and address details you provide (address is optional, but may be required if you want it included on an invoice), the plant protection products you select as having been used on farm, the supporting documents you select such as EAMUs, and the generated report or document pack associated with that purchase.

Invoice Details: Where you request invoicing details to be included, we pass the relevant business or farm identity and address information you submit to Stripe for that purpose.

Analytics Data: Information collected via Google Analytics regarding how you use the Services.

Storage Location & Infrastructure

Authenticated Users: Your data (Account, Stock Takes, Recently Viewed and Saved Labels, AI History) is stored in secure cloud infrastructure provided by Supabase. This data is generally hosted in the UK or EEA.

Anonymous Users: We do not store your data on our servers. Your data (Account, Stock Takes, Recently Viewed and Saved Labels, AI History up to 10 messages) is stored locally on your device only.

Sensitive Information: We do not process sensitive information.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for the following reasons:

Account Management: To facilitate account creation, authentication, and user account management.

Service Delivery: To provide access to third-party hosted plant protection product labels.

AI Features: To provide AI-powered query responses (“Ask AI”) and store conversation history for authenticated users.

Stock Takes: To generate and send stock take reports to the client email addresses you provide and to enable controlled collaborative access, editing and emailing of stock takes between registered users where the stock take Owner chooses to grant access.

Audit Assist: To generate Audit Assist reports and document packs, to include the business or farm details you choose to provide in those reports, and to facilitate one-off purchases, delivery, support, and associated invoicing.

Communication: To send administrative information, service updates, or marketing (if opted in).

Analytics: To improve our Services and user experience through Google Analytics data.

Security: To keep our Services safe, including fraud monitoring and prevention.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR PERSONAL INFORMATION?

In Short: We only process your personal information when we have a valid legal reason under UK GDPR.

Consent: If you have given us permission for a specific purpose (e.g., marketing).

Performance of a Contract: To fulfill our contractual obligations to you, such as providing your subscription services or managing your account.

Legitimate Interests: For reasonable business interests such as service analytics, diagnosing problems, and preventing fraud, provided these do not outweigh your rights.

Legal Obligations: To comply with law enforcement or regulatory requirements.

Vital Interests: To protect the safety of any person in emergency situations.

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We share information only with the following service providers to enable the delivery of our Services.

Cloud Hosting: Supabase (for secure data storage and authentication).

AI Processing: OpenAI (for processing “Ask AI” queries).

Other Registered Users (Collaborative Features): Where a stock take Owner grants access to another registered user, that user will be able to access and edit the shared stock take within the Services. Invited users may email the stock take to recipient addresses added by the Owner. The Owner controls access permissions. We do not independently determine or control which users receive shared stock take data.

Payments & Subscriptions: Stripe (web) and RevenueCat (iOS).

Analytics: Google Analytics (to track and analyze service usage).

Business Transfers: We may share data during negotiations of any merger or sale of company assets.

Our Commitment to Privacy:

* No Selling: We do not sell your personal data to third parties.

* No Advertising: We do not use your data for third-party advertising or behavioural targeting.

* No Cross-App Tracking: We do not engage in tracking your activity across other companies’ apps or websites.

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We use tracking technologies for analytics and service functionality.

We use cookies and similar technologies (like web beacons and pixels) to maintain security, fix bugs, and analyse Service performance. We use Google Analytics to understand user interactions.

You can opt out of Google Analytics tracking by going to https://tools.google.com/dlpage/gaoptout).

We do not use tracking technologies for third-party marketing or cross-app tracking purposes.

6. AI-POWERED FEATURES (“ASK AI”)

In Short: We offer features powered by artificial intelligence to help you query plant protection product labels.

Our “Ask AI” feature is designed to enhance your ability to find critical label information quickly.

Data Processing: When you use “Ask AI,” your query and the relevant extracted text from the third-party label are sent to OpenAI to generate a response.

No Model Training: We do not use your personal data or queries to train our own AI models.

Third-Party Policies: OpenAI processes data according to their own privacy policies.

Accuracy: While designed for accuracy, AI-generated responses may contain inaccuracies. Always refer to the original manufacturer’s label for critical safety and application data.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this notice.

Account Data: Retained until you delete your account.

AI Chat History: Authenticated users’ history is stored in the cloud. Anonymous users’ history is stored locally on the device only. Chat history will be stored until account deletion or when clearing the chat history within the app.

Stock Take Data: Retained while your account is active unless you choose to delete it.

Audit Assist Data: Audit Assist reports, selected product and document records, and associated business or farm details are retained while your account is active unless you choose to delete them earlier, subject to any legal, tax, accounting, or fraud-prevention retention requirements.

Payment Data: Retained for the period required by UK financial and tax laws.

Deletion: When we have no ongoing legitimate need to process your data, we will delete or anonymize it.

8. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18. If we learn we have collected data from a minor, we will deactivate the account and delete the data.

9. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: Under UK GDPR, you have significant rights regarding your personal information.

You have the right to:

* Request access and obtain a copy of your data.

* Request rectification or erasure.

* Restrict or object to processing.

* Data portability.

* Withdraw consent at any time (where processing is based on consent).

10. CONTROLS FOR DO-NOT-TRACK FEATURES

Most browsers include a Do-Not-Track (“DNT”) feature. We do not currently respond to DNT signals as no uniform technology standard has been finalized.

11. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

The updated version will be indicated by the “Revised” date at the top.
